ContractorOS automatically sends email notifications to Site Administrators, vendors, and contractors to keep everyone informed about task activity, compliance changes, and document expiry. These notifications help ensure required actions are completed and compliance is maintained.
Site Administrator notifications
Site Administrators receive email notifications when:
- A vendor or contractor submits a task for review.
- A vendor's compliance status changes.
- A previously approved vendor or contractor document expires.
Vendor notifications
Vendor contacts receive email notifications when:
- New tasks are assigned to the vendor or their contractors.
- A submitted vendor task is approved or requires changes.
- The vendor's compliance status changes.
- One of their contractors' compliance status changes.
Vendors also receive reminder emails before an approved document assigned to the vendor or one of their contractors expires:
- 30 days before the expiry date
- 7 days before the expiry date
- 1 day before the expiry date
Contractor notifications
Contractors with access to the ContractorOS Vendor Portal receive email notifications when:
- New tasks are assigned to them.
- A submitted task is approved or requires changes.
- Their compliance status changes.
Contractors also receive reminder emails before one of their approved documents expires:
- 30 days before the expiry date
- 7 days before the expiry date
- 1 day before the expiry date
Task reminder notifications
ContractorOS automatically reminds vendors about incomplete tasks to help keep compliance up to date.
- An email is sent when a new task is assigned to the vendor or one of their contractors.
- A reminder email is sent 7 days after a task is assigned if there are still incomplete tasks.
- Daily reminder emails are sent after the 7-day reminder for tasks that remain in a New, In Progress, Requires Changes, or Expired status.

Can notification emails be customized?
No. ContractorOS notification emails are generated automatically, and their content cannot be customized.
Can I send manual reminder notifications?
No. ContractorOS does not currently support sending manual reminder emails or configuring additional automatic notification schedules.
