ContractorOS automatically sends email notifications to Site Administrators, vendors, and contractors to help them stay informed about changes on the platform.
ContractorOS has two tiers: Essentials and Advanced. Select the tab that matches your site's ContractorOS tier to see which notifications are sent.
Essentials tier notifications
On the Essentials tier, ContractorOS sends notifications to vendors only.
Vendor notifications
Vendors receive email notifications when:
- A Site Administrator requests their documents.
- A Site Administrator requests documents for one of the vendor's contractors.
- A vendor document is expiring soon. Notifications are sent 7 days and 1 day before the expiry date.
- A contractor document is expiring soon. Notifications are sent to the vendor 7 days and 1 day before the expiry date.
Advanced tier notifications
On the Advanced tier, ContractorOS sends notifications to Site Administrators, vendors, and contractors.
Site Administrator notifications
Site Administrators receive email notifications when:
- A vendor or contractor submits a task for review.
Vendor notifications
Vendors receive email notifications when:
- A Site Administrator invites a vendor to a new site.
- A Site Administrator removes the vendor from a site.
- A Site Administrator assigns a task to the vendor.
- A Site Administrator assigns tasks to one of the vendor's contractors who has not registered for the ContractorOS Vendor Portal.
- A task the vendor submitted is approved or rejected.
- A Site Administrator sends a reminder for incomplete vendor tasks.
- A Site Administrator sends a reminder for incomplete contractor tasks when the contractor has not registered for the ContractorOS Vendor Portal.
- ContractorOS sends a daily email listing the number of incomplete tasks until they are completed or for up to one year. Incomplete tasks are tasks with a New, In Progress, Rejected, or Expired status.
- A Site Administrator adds new contractors to the vendor's organization.
- A vendor document is expiring soon. Notifications are sent 7 days and 1 day before the expiry date.
- A contractor document is expiring soon and the contractor has not registered for the ContractorOS Vendor Portal. Notifications are sent 7 days and 1 day before the expiry date.
Contractor notifications
Contractors receive email notifications when:
- A Site Administrator or vendor assigns a task.
- A Site Administrator sends a reminder for incomplete contractor tasks.
- A task they submitted is approved or rejected.
- An approved document they submitted is expiring soon. Notifications are sent 7 days and 1 day before the expiry date.
FAQ
Can notification emails be customized?
No. ContractorOS notification emails are generated automatically, and their content cannot be customized.
Can automatic notification schedules be customized?
No. ContractorOS does not currently support configuring additional automatic notification schedules.
