ContractorOS now makes it easier to track contractor and vendor invitations by showing their current status directly in the portal, along with built-in automated reminders to reduce the need for manual follow-ups.
Invitation Status: Active or Pending
Once a contractor or vendor is invited to join ContractorOS, their invitation status becomes visible in the Contractor and Vendor management pages.
There are two possible statuses:
Accepted: The user has accepted the invite and created their account.
Sent: The user has not yet accepted the invite or created an account.
This visibility helps site admins quickly identify who still needs to complete their registration.
Automatic Weekly Reminders
To reduce the need for manual follow-up, ContractorOS automatically resends the invitation email every 7 days to any contractor or vendor who hasn’t yet created their account.
View Invitation Details
You can see an overview of each contractor or vendor’s invitation status and history from the Edit Contractor or Edit Vendor page, where an invitation information card is displayed.
Manual Resend Option
Site Admins and Vendors can manually resend an invitation at any time:
In the ContractorOS portal, go to Manage
Select the Vendor or Contractor
Navigate to the Portal Invitation Card in the user's profile and select
A new invitation email will be sent immediately
Invitation Sent Date
Each time an invitation is sent—whether automatically or manually—the Invitation Sent date will update to reflect the most recent send, including reminders. This helps you keep track of outreach timing at a glance.
