We are pleased to announce the following new functionality in our October 2026 release!
Translated email notifications across FacilityOS
Who can use this feature?
To support international teams and improve accessibility, FacilityOS emails are now sent in the language configured for each site, with no manual translation needed. The update covers emails from FacilityOS, VisitorOS, EmergencyOS, ContractorOS, and SecurityOS.
- Automatic translation: Subject lines and body content come pre-translated.
- Most emails follow the site language: Host notifications, approval requests, Watchlist alerts and every other email not sent to a visitor go out in the language set in FacilityOS Site Settings: English, French, Swedish, German or Spanish.
- Visitor emails in any kiosk language: Each VisitorOS site picks one or more languages for visitor notifications from the full list of kiosk languages. A site that picks more than one sets a default. Hosts who invite a visitor in the portal can choose the language, and invitations sent by email, the Outlook plugin or other channels outside the portal use the default.
- Account emails follow the user's site: Emails that aren't tied to a site, such as new user and password reset emails, go out in the language of the user's assigned site. Users assigned to more than one site receive them in English.
- Date and time formats: Sites set the date and time format for their emails: Canada, Eastern Europe, Europe or United States. The format applies whatever language the email is in.
- Standardized templates: All system emails now share one template structure with common header and footer components.
- Custom templates are still supported: Tech Support can still customize a site's email templates, including in a language outside the five site languages. This update leaves existing custom templates as they are, so they don't switch to the new translated versions.
- EmergencyOS emails: EmergencyOS email templates now appear in the site's language. When admins preview a template within an Emergency Profile, they see which language the site uses, with the subject and body shown in that language.
Note:
The LogisticsOS and WorkforceOS modules are not yet supported. SMS messages are not translated yet, but admins can edit them.
Key benefits:
- Improved Global Usability: Teams across different regions can now work in their preferred language, driving adoption and reducing friction. Templates arrive pre-translated, so admins choose a language instead of rewriting emails.
- Emails recipients trust and act on: Password resets, approval requests and Watchlist alerts arrive in the language the recipient reads, which reduces phishing concerns and missed actions.
- Consistent Experience: Language and date format are set once in Site Settings and apply across FacilityOS, VisitorOS, EmergencyOS and ContractorOS emails.
