Create a custom role in VisitorOS

You can create custom roles with sets of permissions that control what a user can do in the VisitorOS portal.

Required tier Corporate, Enhanced, or Enterprise tier. What is my tier?
Required permission Manage roles. This permission is included by default for the account administrator role. What is my role?

Create a custom role

  1. From the left sidebar in VisitorOS, click the Settings Screenshot of the Settings icon. icon, then select Roles.
  2. Click New Role.
  3. In the Name field, enter a name for the role.
  4. Optionally, to describe the purpose of the role, enter details in the Description field.
  5. In the "Permissions" panel, select the permissions you want the role to have. To know what each permission does, see Understanding permissions.
  6. Click Save.

Understanding permissions

Below are all of the available permissions that can be assigned to a role, as well as a brief description of each.

General Permissions

  • Visitor Sign-In and Sign-Out - allows users to sign-in and sign-out visitors using Portal.

Manage Permissions

  • Address Book - allows users to manage the company's Address Book
  • Documents -  allows users to create and modify documents used during the sign-in process.
  • Devices - allows the user to configure the settings for iPads, Printers and other hardware devices.
  • Watchlists - allows user to configure watchlists, change rules and edit watchlist members.
  • Watchlists (all) - extends the watchlists permission across all sites.
  • Events (Managed / My Events) - allows the user to create and manage events as the host.
  • Events (all) - extends the events permission across all events, even when the user is not the event host.
  • Events (Read Only) -  allows users to view visitor event details, without editing.
  • Global Messaging - allows user to send a message to all contacts in the Address Book.

Settings Permissions

  • Sites - allows the user access to make changes on the Site Settings menu.
  • Users - allows the user access to make changes on the Users Settings menu, including creating new users.
  • Roles - allows the user access to make changes to roles. Users cannot adjust the permission level of their own role.
  • DeliveryOS Mobile App - allows user to scan parcels and pickup parcels in the mobile app for DeliveryOS.
  • Access Workforce - grants user access to the WorkforceOS module, if subscription to WorkforceOS is enabled.

Reporting Permissions

  • Visitor Log - allows visitors to view logs of historical visitor records.
  • Dashboard Graphs - enables graphs on the VisitorOS Dashboard based on historical visitor data. 
  • Data Export - enables user to export visitor data in bulk

Internal Permissions

  • Message Templates - allows user to edit the default message templates used in email and SMS notifications.
  • Visitor Approval - enables the ability to approve or reject pending sign-ins from the Portal.
