Arrival Assist streamlines the sign-in process by allowing your team to either fully sign in visitors through the VisitorOS portal, or partially sign them in and transfer the remaining steps to a kiosk.
This feature also enables your team to mark visitors as "arrived" by putting them in a separate pending sign-in queue, improving visibility and creating a more complete audit trail.
Requirements For Using Arrival Assist
To use Arrival Assist, you must have:
- Access to VisitorOS | FacilityOS
- Permission to use Visitor Sign in/Sign out within your VisitorOS role
- VisitorOS app version 22.3.1 and newer
Who Should Use Arrival Assist?
Arrival Assist is ideal for organizations that:
- Use gated entries or have on-site security checkpoints
- Require detailed visitor audit trails for compliance purposes
- Want to improve communication between gate/security staff and front desk teams
- Need to assist visitors who may have trouble completing digital sign-in on their own
How Arrival Assist Works
Walk-ins / New Visitors
1. On the Dashboard, click the blue Sign In Visitor button.
2. Complete the visitor sign-in form.
3. Click to finish or transfer the sign in when complete.
Pre-registered Visitors
1. Under Expected Today, locate the visitor who has pre-registered.
2. Click Sign In Visitor next to their name.
3. The form will be pre-filled with their information. Review and click to complete.
Pending Sign-Ins
To mark visitors as having arrived on site:
1. Go to Expected Today, click the three-dot menu next to the visitor's name
2. Select Add to Pending Sign-Ins.
This moves the visitor into the Pending Sign Ins queue, allowing sign-in to be completed later or removed as needed.
Arrival Assist logs how long a visitor stays in 'Pending' status under Duration, helping teams to better understand and analyze wait times.
Sign In Flow
When Arrival Assist is enabled, the kiosk workflow supports both arrival tracking and traditional Assisted Sign-In functionality,
Front desk staff can help complete sign-ins for guests, choosing between:

- Finish and Print Badge: Completes in-portal sign-in and prints the visitor badge
- Transfer to Kiosk: Prompts remaining steps like photo capture, document review, or ID scanning
Finish and Print Badge
If you choose to print a badge directly from the portal, you may be prompted to select one of the Available Devices.
1. If your site has one printer, it will be selected automatically.
2. If there are multiple printers on site, there will be a drop-down of the available printers to select from.
3. If the VisitorOS app is not compatible with the Arrival Assist feature, it will say “Please update device to new version.” If you see this message, please contact support@facilityos.com to get assistance on updating the VisitorOS app.
Transfer to Kiosk
If your site requires additional information from the visitor:

The kiosk will pick up the sign-in from the portal and prompt the visitor to complete remaining steps such as capturing a photo or signing a document.

If the kiosk is already in use, the visitor will be added to the Pending Sign-Ins queue until the kiosk is available.
