Create an event in Microsoft Outlook

You can create events and invite guests in the Outlook desktop or web app. These events will then sync with your VisitorOS platform.
Required tier Enhanced or Enterprise tier. What is my tier?
Required permission Manage events. This permission is included by default for the Account Administrator, Site Administrator, and Host roles. What is my role?

Important:

Your admin must set up the VisitorOS integration with Outlook before you can create events. For more information, see Integrate VisitorOS with Microsoft Outlook.

Create an event in Outlook

The steps below will help you create an event in the desktop or web version of Outlook. The mobile version of Outlook is not yet supported.

  1. In Outlook, click the drop-down arrow next to "New Mail", then select Event.

  2. In the top bar, click the three horizontal dots horizontal_dots.png icon, then select VisitorOS Events for Outlook.

  3. Click Log In, then sign in using your FacilityOS credentials or your Microsoft single sign-on.
  4. Under "Event Details", set the Location, Visitor Type, and Allow Early Sign In options. 
  5. Optionally, turn on Summary Report and Suppress sign-in notifications for the Host.

  6. In the Outlook event editor, enter a title and invite attendees. For more information about creating events in Outlook, see Microsoft's article Schedule a meeting or event in Outlook.
  7. When you have finished configuring the event, click Send.

    Note: Deleting an event in Outlook removes only future occurrences from VisitorOS. Past events remain available to preserve historical data.
