You can edit, pin, activate, deactivate, or delete employees in your Address Book.
Who can use this feature?
Edit employee details
- From the left sidebar in VisitorOS or FacilityOS, click Manage, then select Address Book.
- Select the employee you want to edit.
- If an external system manages the employee, a message is shown above their name. Make any changes to the employee’s details in the external system. If you unlink the employee by clicking Unlock, the external system will no longer update their details. This may create a duplicate entry during the next sync.
- Make any changes to the employee.
- In the upper-right corner, click Save.
Pin an employee as a host
You can pin an employee so they appear on the "Host selection" screen. This lets visitors select them without needing to search for their name.
- From the left sidebar in VisitorOS or FacilityOS, click Manage, then select Address Book.
- Select the employee you want to pin.
- In the Details tab, turn on Pin to 'Host selection' screen.
- Click Save.
Deactivate or activate an employee
You can deactivate an employee in the Address Book to temporarily prevent them from being selected as a host. You can activate them again when needed.
- From the left sidebar in VisitorOS or FacilityOS, click Manage, then select Address Book.
- Select the employee you want to activate or deactivate.
- Next to their profile picture, turn off Active to deactivate them or turn it on to activate them.
- In the upper-right corner, click Save.
Delete an employee
Deleting an employee is permanent and cannot be undone. After the employee is deleted, they will no longer appear as a host when visitors attempt to sign in.
Note:
If an external system, such as Microsoft Entra ID, manages the employee, delete them from that system.
- From the left sidebar in VisitorOS or FacilityOS, click Manage, then select Address Book.
- Use the search bar to find the employee by their name, email, or phone number.
- Next to the employee you want to delete, click the Delete
icon.
- Click Yes to confirm and delete.
