Mailroom management is a LogisticsOS workflow for handling inbound and outbound mail and parcels. It helps organizations keep a clear record of each item as it moves through receiving, processing, delivery, or return workflows.

Teams can use mailroom management to support day-to-day mailroom operations with barcode scanning, status tracking, proof of delivery, and automated updates.

Mailroom management includes capabilities such as:

  • Client services portal allows recipients to track their items, submit new shipping requests and setup delivery preferences. 
  • Automatic carrier recognition to help identify carriers and reduce manual data entry during intake.

  • Processing alerts to help staff identify sorting or delivery exceptions and expedite requests. 
  • Proof of delivery to confirm when an item has been delivered.

Mailroom management workflow

The core mailroom management workflow in LogisticsOS follows three main steps:

  1. Receive: Staff receive inbound mail and parcels and create a record for each item.
  2. Process: Items are organized for the correct recipient or department so they can continue through the delivery process.
  3. Deliver or return: Items are delivered to recipients or designated pickup locations, with proof of delivery captured when needed. If an item cannot be delivered, it can be re-sorted for return to the sender.

Receive mail and parcels

The receiving step is where mailroom staff log incoming items into LogisticsOS. This creates visibility from the start of the workflow and helps ensure each item is tracked from intake onward.

Depending on your process, receiving can include barcode scanning and optional AI-powered label capture by using the Smart Scanner mobile app to extract the recipient and sender details.

Process items for delivery

After items are received, staff process them for the appropriate recipient. This step helps keep delivery workflows organized by keeping track of where items are headed.

If Smart Scanner was used during the receiving process, recipient and sender details are automatically entered to help reduce errors caused by manual entry and help speed up the process.

Deliver or return parcels

Once items are processed, they can be delivered to recipients or designated pickup locations. LogisticsOS can capture proof of delivery using signatures, barcode scans, ID scans, or photos.

If delivery cannot be completed, the item can be returned to the mailroom for a future attempt or re-sorted for return to the sender.
