Pre-Registration Denial Notifications

When denying a visitor’s pre-registration request, users can now choose to send an email notification to the host, the visitor, or both.
This update is a follow-up to our Pre-registration Approval functionality. Previously, when visitors were denied at pre-registration, VisitorOS did not generate any notification, which could leave hosts and visitors unsure of the request status. This update helps ensure the right people are informed when a request is not approved.

Returning Visitor Sign-In in the Portal

Staff can now sign in returning visitors directly from the VisitorOS portal by searching for an existing visitor and reusing their saved information.
Returning visitor sign-in can be initiated from either the Dashboard or Visitor Log. When a returning visitor is selected, eligible visitor details are automatically populated while still requiring any information needed for the new visit. Each sign-in creates a new visit record, ensuring a complete and accurate visitor history, while reducing repetitive data entry and speeding up the check-in process.

- Speed up sign-in for frequent visitors: Quickly sign in returning visitors using their existing information, reducing repetitive data entry
- Improve consistency and data accuracy: Reusing saved visitor details helps eliminate duplicate records caused by variations in names or information entered across visits
- Support high-volume visitor environments: Ideal for facilities that regularly welcome large numbers of repeat visitors, contractors, vendors, or temporary workers
- Sign visitors in from the portal when kiosks aren't available: Staff can sign in returning visitors directly from the Dashboard or Visitor Log, providing a reliable alternative when kiosk access is unavailable or network limitations exist
Required Data Fields for Visitor Invites and Events

Admins can now make data fields mandatory for visitor invites and event creation. This gives organizations more control over when information is collected and helps ensure required details are captured before an invitation is sent.

More Granular Watchlist Permissions

Watchlist permissions have been split into two separate permissions: one for managing watchlist members and another for managing watchlist configuration. This gives organizations more control over who can update watchlist entries while reducing the risk of accidental changes to watchlist settings or deletion.
Improved ContractorOS Watchlist Matching
| Required tier | Available for customers using the VisitorOS and ContractorOS integration. |
VisitorOS now separates ContractorOS watchlist evaluations into three clear outcomes: non-compliant (sign-in is blocked), compliant (sign-in is allowed), or not found in ContractorOS (the site determines what action to take).
Sites can now distinguish between visitors who are truly non-compliant and those who simply do not have a ContractorOS record. This creates more accurate watchlist results, reduces false-positive compliance violations, and gives sites greater control over how unmatched visitors are handled.
VisitorOS Permission Update: Download Legal Documents

VisitorOS now includes a new, granular permission: Download Legal Documents. This separates access to sensitive documents (e.g., signed agreements, passports, government IDs) from general visitor data exports.
Key changes:
- New permission: Download Legal Document
- The existing Data Export permission now applies only to visitor data exports (e.g., CSVs, reports)
- Document access can now be restricted to specific roles (e.g., admins only) without impacting reporting access
