Add a guest to an event
- From the left sidebar in VisitorOS, click Events.
- Select the event you want to update.
-
In "Event Guests", click Invite Guest.
- In the Visitor Information search field, enter the guest’s name, and then do one of the following:
-
If you see the guest in the search results, select their name to fill in their information from their last visit. This also ensures they do not have to complete documents they have already reviewed, provided they have not expired.
Note:
Visitor information will only be filled in from a guest's previous visit if Remember Last Entry for Returning Visitors was turned on. For more information, see Manage data fields.
- If the guest does not appear in the search results, click New Visitor.
-
- Optionally, if the guest is visiting from a company, in the Company field, enter its name.
- From the Visitor Type drop-down menu, select the type of visitor you are inviting. The visitor type determines which documents guests review during sign-in and which watchlists are checked.
- If your site has turned on multiple ways to send the invitation to the guest, under Notification Channel(s) select Email, SMS, or both.
- Depending on the notification channels you selected, enter their Email or Phone number.
- In the Notes (Internal) field, enter internal notes. These notes are visible to you, users who can manage all events, and users who have access to visitor records. Any of these users can also edit the notes.
-
Optionally, if your admin has enabled additional data fields, expand Custom Fields and prefill the information you have. During pre-registration, the guest can review and edit the information you entered.
- Click Invite.
Add multiple guests to an event
To add multiple guests to an event, prepare a CSV file that contains your guest information. For details, see Create a CSV file to import guests to an event.
- From the left sidebar in VisitorOS, click Events.
- Select the event you want to update.
- In the "Event Guests" panel, click the Import from CSV
icon.
- In the "Import" dialog, click Browse, select the CSV, TXT, or XLSX file that contains your guest list, then click Next.
- If the first row of your file contains column headers, select Column names in the first data row. VisitorOS uses the headers to map columns to the correct fields.
- If you are uploading a TXT file, select the correct Column delimiter. For other file types, keep the default setting.
- Review the column mapping and confirm each VisitorOS field maps to the correct column in your file, then click Next. For example, if your file has a column named "Email", map it to "Email Address".
- Review guests to ensure the information is accurate, then click Add Guests.
