Add guests to an event

After you create an event, you can invite guests individually or import multiple guests at once.

Who can use this feature?

  • Account Administrators, Site Administrators, Hosts, or users with permission to manage Events
  • Available on all tiers

Add a guest to an event

  1. From the left sidebar in VisitorOS, click Events.
  2. Select the event you want to add a guest to.
  3. Click Invite Guest.

  4. In the Visitor Information search field, enter the guest’s name, and then do one of the following:
    • If the guest appears in the search results, select their name to fill in the information saved from their last visit. This also ensures they do not have to complete documents they have already reviewed, provided they have not expired.

      Note:

      Information from a guest’s previous visit is filled in only if your admin has configured your site for returning visitors.

    • If the guest does not appear in the search results, click New Visitor.

  5. From the Visitor Type drop-down menu, select the visitor type for the guest.
  6. If your site has multiple invitation delivery methods enabled, under Notification Channel(s), select Email, SMS, or both.
  7. Enter the guest’s Email address, Phone number, or both, depending on the notification channels you selected.
  8. Enter any additional required information about the guest. The required information depends on how your admin has configured your site.
  9. (Optional) In Notes (Internal), enter any internal notes. These notes are visible and editable by you, users who can manage all events, and users who have access to visitor records.
  10. To invite the guest, click Invite.

Add multiple guests to an event

To add multiple guests to an event, prepare a CSV, TXT, or XLSX file containing your guest information. To learn how to create a CSV file, see Create a CSV file to import guests to an event.

  1. From the left sidebar in VisitorOS, click Events.
  2. Select the event you want to add guests to.
  3. Click the Import from CSV import_from_csv.png icon to open the file upload dialog.
  4. Click Browse to select the CSV, TXT, or XLSX file that contains your guest list, then click Next.
  5. If the first row of your file contains column headers, select Column names in the first data row. The headers are used to map columns to the correct fields.
  6. If you are uploading a TXT file, select the correct Column delimiter. For other file types, keep the default setting.
  7. Review the column mapping and confirm that each field is mapped to the correct column in your file, then click Next. For example, if your file has a column named "Email", map it to "Email Address".

  8. Review the guests to ensure the information is accurate, then click Add Guests.
