Change visitor approval settings

Visitor approval lets you control when a visitor needs approval and who receives the approval email.

Required tier Enterprise tier. Enhanced and Corporate tiers require the visitor approval add-on. What is my tier?
Required permission Site configuration. This permission is included by default for the account administrator and site administrator role. What is my role?

Access visitor approval settings

Visitor approval is configured at the site level from the Visitor Approval settings panel.

  1. From the left sidebar in VisitorOS, select the Settings Screenshot of the Settings icon. icon.
  2. Select Sites, and then select a site.

  3. Select Features.
  4. Turn on Visitor Approval.
  5. Under Visitor Approval, select Configure to open its settings panel.

Once you have accessed the Visitor Approval settings panel, you can make the changes shown below.

Who receives approval emails

Under Send Approval Emails to choose who receives approval emails.

  • Select Host to send approval emails to the event host.
  • Select Security Officer and enter the email address of a user in VisitorOS to receive approval emails. You can add one or more email addresses, separated by commas.

    Important:

    We recommend selecting only one option. If both host and security officer are chosen and their responses differ, only the first response received will be recorded.

Require approval before a visitor arrives

Under Require Approval, you can turn on approval for actions that happen before the visitor arrives.

  • Selecting Event Invitations requires approval before event invitations or pre-registration invitations are sent.
  • Selecting Pre-registration Details requires approval for submitted pre-registrations before the guest receives their QR code for sign-in.

    Note:

    The Pre-registration Details option requires pre-registration to be mandatory. To learn how, see Pre-registration settings.

Require approval after a visitor signs in

Under Require Approval, you can require approval after a visitor completes sign-in at your site.

  • Selecting New Visitors requires approval for visitors who select New Visitor Sign-In on the sign-in screen.
  • Selecting Returning Visitors requires approval for visitors who select Returning Visitor on the sign-in screen.
  • Selecting Pre-registered Visitors requires approval for visitors who sign in with their QR code. Screenshot showing the during sign-in options highlighted.
  • To delay badge printing until after sign-in approval, turn on Delay Badge Printing Until After Sign-In Approval.

    Note:

    If this setting is turned on, visitor types who do not require approval will need to have their badges manually printed. To learn how, see Print badges for signed in visitors.

Limit approvals to specific visitor types

Turn on Limit to Specific Visitor Types to require approval only to selected visitor types.
