Notifications in VisitorOS let hosts, admins, visitors, and other users receive important updates about activity in the portal, such as sign-ins, events, and summary reports.
Notification types
There are multiple types of notifications that can be sent. The notifications below are grouped by the recipients.
Notifications for hosts
- Sign-in notifications: Sent to the host when their visitor signs in.
- Sign-out notifications: Sent to the host when their visitor signs out.
- Sign-out reminders: Sent to the host when a visitor remains signed in for a set period of time after signing in. This reminder lets the host know they may need to sign out the visitor if the visitor has already left the site.
- Approval emails: Sent to the host or specified users in VisitorOS when approval is needed for an event invitation, pre-registration, or sign-in.
- Watchlist notifications: Sent to the host or specified users when a visitor's pre-registration details or sign-in match an entry in a watchlist.
- Welcome email: Sent to the host when they are added to the address book.
Notifications for admins
- Offline device notifications: Sent to all account administrators, site administrators, or specified users when a device is no longer connected to VisitorOS.
- Summary reports: Sent to all account administrators, site administrators, or specified users. These reports summarize visitor sign-in activity for the day, week, or month.
- Signed-in visitors report: Sent to all account administrators, site administrators, or specified users at scheduled times. This report shows which visitors are currently signed in.
Notifications for visitors

Event invitation: Sent to the visitor when they are invited to an event. It includes the event details, the option to complete pre-registration if it is turned on for your site, and a QR code the visitor can use to sign in when they arrive.
Note:
If pre-registration is mandatory, the QR code is sent only after the visitor completes pre-registration.

Pre-registration completed: Sent to the visitor after they complete pre-registration. This notification includes a QR code the visitor can use to sign in to the event.
Note:
If pre-registrations require approval, this notification is sent only after the visitor's pre-registration is approved. If the pre-registration is not approved, the visitor does not receive this notification.
- Sign-out reminders: Sent to the visitor when they remain signed in for a set period of time after signing in. This reminder lets them know they should sign out if they have left the site.
- Event cancellation: Sent to all visitors invited to an event that has been deleted.
Notification delivery methods
The VisitorOS portal supports email delivery for all notifications.

Customize notifications
Admins can customize sign-in notifications sent by SMS and sign-out notifications sent by email. To learn how, see Set up sign-in notifications or Set up sign-out notifications.
To customize other notification types, contact your customer success representative or the FacilityOS support team.
Customize the sender name for email notifications
To change the sender name in email notifications to one that is more recognizable to your staff and visitors, contact your customer success representative or the FacilityOS support team.
For example, instead of email notifications being sent from "iLobby@ilobbycloud.com", they can be sent from "acme@ilobbycloud.com".
Note:
The domain name, "ilobbycloud.com", cannot be changed.
