About employee passes

Employee passes make it easy for employees to sign in at your site while automatically keeping a digital record of their arrival.

What are employee passes?

An employee pass is a time-limited QR code that is automatically created when an employee is added to the address book as a host. To learn how to add a host to the address book, see Add hosts to the address book.

When an employee scans their QR code at a kiosk, VisitorOS records their sign-in, including the sign-in time and the location where they signed in. You can review this information in the visitor log. To learn how, see View visitor records.

Enable employee passes

Employee passes are available on the Enterprise tier. If you are on the Enhanced or Corporate tier, employee passes are available as an add-on. 

To enable this feature for your site, contact your customer success representative or the FacilityOS support team.

How employees can access employee passes

Employees can receive or access their employee passes in the following ways:

  • You can email an employee pass. Employees can then view the pass in their email and add it to Apple Wallet or Google Wallet. For more information, see Email an employee pass.
  • You can export an employee pass and send it by using your preferred file-sharing service. For more information, see Export an employee pass.
  • Employees can use the VisitorOS Mobile Companion app to access their employee pass and sign in. For more information, see Sign in using the VisitorOS Mobile Companion app

Set employee passes to expire

You can optionally set an expiry date for an employee pass so that it is available only for a specific period. To learn how, see Set expiry dates for employee passes.
